1. How do I remove double bank/Phoenix transaction?

  • To remove a transaction, duplicates or otherwise, follow the instructions on our Phoenix Help page here.
  • To edit or delete matched transactions, see the steps on our Phoenix Help page here.

2. I have applied the payment to the wrong invoice. How do I change this?

  • This can be easily fixed if the payment will be applied to another invoice in the same sub-account and in the same GST period. Follow the example steps below.
    • If it is outside the above parameters, the easiest way to have this fixed is by contacting our Tech Support Team for assistance.

* N.B. The following steps only apply if the payment to be corrected will be applied to another invoice in the same sub-account and in the same GST period.

The payment is in the current month in Customers (or Suppliers) and has been applied automatically when recording the deposit in the bank account and linking the customer payment to the customer. The payment of $2000.00 has been applied to the oldest invoice for $1600.00 and the balance applied to the invoice for $2000.00 resulting in part-paid invoice with $1600.00 still owing.

  1. With the customer sub-account open, select ‘Show’ and ‘All Transactions’.
  2. Highlight the ‘Payment’ and double left click to open it.

3. Select ‘Apply to Invoices’.

4. Untick the checkboxes for the invoice/s the payment should not be applied to.
5. Tick the checkbox for the correct invoice.

6. The statement view now shows the $2000.00 invoice fully paid and the $1600.00 invoice unpaid.

When applying payments automatically, they are applied to the oldest unpaid invoice first and any remaining balance is applied to the next oldest invoice, and so on. If there is more than one invoice unpaid in the sub-account, manually select it and tick the appropriate invoice when the entry is saved.

*N.B. In any other situation where a payment has been applied incorrectly, contact our Tech Support Team for assistance to avoid changing GST which has already been reported or other undesirable consequences.

3. I have linked a payment to the incorrect area. What do I do?

    • Please note this only applies if the payment is in the current GST period. If your situation falls outside of this, please contact our Tech Support Team for assistance.

4. How do I make my Phoenix Financials reports the correct page size or how do I modify it?

  • This issue is to do with the default paper size in Windows. To change it, you need to go into the Windows printer setup and change the paper size from US Letter to A4.
    • N.B. Ensure Phoenix is closed prior to adjusting the printer settings. This ensures these changes are picked up when Phoenix is re-opened.

5. How do I add more than one Phoenix transaction for multiple bank statement transactions?

6. How can I configure the transaction list in the Transaction entry screen?

  • To do this you need to go to ‘Enter’ and then select ‘List’. Choose the required options from the list menu.

8. Where can I see the latest Fuel Tax Credit Rates?

  • If you have configured updates to happen automatically and your regimes are set up and kept up to date within Phoenix:
    • When a new Fuel Tax Credit (FTC) rate is available from the ATO, you’ll need to confirm that you want to update your regimes by going into GST/Reports and responding to the FTC update message which shows.
  • If you haven’t configured updates to happen automatically within Phoenix:
